Moore Stephens LLP

Moore Stephens LLP is the eighth largest accounting and consulting firm in London, with 650 partners and staff, while the Moore Stephens International Limited network comprises 630 offices of independent member firms in 98 countries. In April 2010 Moore Stephens LLP moved three of their central London offices into one location at Aldersgate Street in London, a stunning refurbished six floor building.

The relationship between Xeretec and Moore Stephens began in August 2009, when Moore Stephens had already started a review process of their existing print infrastructure. At the time their printer and copier fleet consisted of 160 ‘mixed model’ devices spread over three London buildings.

Moore Stephens recognised that a large number of these devices were old and were no longer cost effective to maintain, not only in terms of day to day consumable items but for spare parts and ongoing service.

Before making any recommendation Xeretec conducted a print audit across the three London offices, a process that involved mapping and monitoring the usage, consumables and service costs for all of the existing devices over a three-month period. The data extracted would provide a valuable insight into the actual total cost of ownership for all of the devices and allow Xeretec to present Moore Stephens with a proposal based on replacing their entire printer fleet with new devices; an upgrade program that would still be cheaper than if they were to continue to run their existing fleet.

In conjunction, Moore Stephens conducted its own physical audit of the printer consumables held across the three buildings and in doing so identified that further significant cost savings could be made by managing and storing consumable items centrally.

Xeretec utilised the Xerox Smart Centre in Uxbridge to demonstrate to Moore Stephens the printer devices available.

The final requirement was for 152 print devices that comprised:

96 x Xerox 3250 mono desktop printers to be located in the partners and secretaries’ offices, as these are considered low-usage devices. 
36 x Xerox 4510 printers for designated areas such as the tax and litigation departments
12 x Xerox 5645 multi-functional devices (MFD) for the communal ‘pod’ areas spread over the buildings six floors.
5 x  Xerox 6280 Colour MFD’s
2 x  Xerox 7232 Colour MFDs were to be located in the in library and in the HR department.

As this project was now based around replacing all of Moore Stephens existing printer fleet it would be critical that that this happened as part of the Aldersgate Street refurbishment.

To facilitate a seamless transition from the old offices to the Aldersgate building, Moore Stephens had a clear remit which was to replicate the same user experience even though the surroundings and the equipment would be new. The desire for minimum disruption and user familiarity was critical throughout this project. 

The Xerox 5645’s and 7232’s devices have been fitted with e-copy which allows documents to be scanned back to the desktop or client. This was seamlessly integrated into Moore Stephens own document management system.

The installation of the 152 printers started on 1st April 2010 and Moore Stephens gave Xeretec the use of the training wing of the Aldersgate building as a central point for delivery. Xeretec worked closely with Moore Stephens IT department to set up IP addresses and load a single global print driver. Xeretec’s technical team conducted a system pre-test before each device was installed to the pre-agreed floor plan. 

As part of the service offering Xeretec has provided Moore Stephens with a technician who spends two-hours each working day at the Aldersgate office to resolve any issues that may have arisen during the previous day.

In deploying the Xeretec solution Moore Stephens have the same amount of devices that they were accustomed to ‘plus a few more’, something they believe they would be unable to do had they chosen another solution. Further gain has been made from reduced operational costs and through having a print infrastructure that no longer requires the resource and time to keep it functional.
